Access QB Database Server Manager

Step 1: Download the Database Server Manager
The Database Server Manager is included with the QuickBooks Desktop file. Simply download and update QuickBooks Desktop, and the Database Server Manager will update automatically.

Step 2: Install Database Server Manager
- Important: If you are an accountant or someone who manages multiple versions of QuickBooks Desktop on your network, install them in order from the oldest to the newest version.
- Open your server computer.
- Close all open programs.
- Exit QuickBooks.
- Open the install file you downloaded, named Setup_QuickBooks.exe.
- Follow the onscreen instructions. If you need to find your product or license numbers, here’s how to locate them.
- When prompted to choose an install type, select Custom or Network Options and then click Next. Avoid selecting Express.
Note: The Express option installs QuickBooks Desktop over the previous version, which may be necessary for comparison and troubleshooting. - Choose the best option for your network setup and click Next. Both options will install this. If QuickBooks Desktop is already installed on your server computer, this will not overwrite any existing company data.
- To have both Database Server Manager and QuickBooks Desktop on your server computer, select the below option.
- “I’ll be using QuickBooks Desktop on this computer, AND I’ll be storing our company file here so it can be shared over our network.”
- We strongly recommend this.
- To keep only Database Server Manager on the server computer, select the below option.
- “This machine will not be used by me to use QuickBooks Desktop.”
- Complete the remaining onscreen instructions. When ready, click Install. Windows might ask for permission.
Note: QB will make a new Windows user for each version of Database Server Manager, such as Database Server Manager 2023 will appear as QBDataServiceUser33. - Permit QBDataServiceUserXX to access the folders holding your corporate files (where XX is the user number).
Configure Database Server Manager
If you’re okay with the default settings, you can skip this section.
- Open the Windows Start menu.
- Type Services in the search.
- Open Services.
- Find and open QuickBooksDBXX (where XX is the version number).
- Go to the General tab. If the Service status shows Started or Running, click Stop.
- Change the Startup type to Automatic.
- Go to the Logon tab.
- Select Local System account.
- In the Recovery tab, set Restart the Service for First failure, Second failure, and Subsequent failures.
- Return to the General tab.
- Click Start.
- Restart the Database Server Manager.
Note: If QuickBooks database server manager is not available, then set your firewall permissions and make sure it is allowed to run on your server computer.
